
Scheduling via Google Forms
While we work on implementing a new software, we are temporarily utilizing
Google Forms for monthly scheduling. Please use one of the two buttons below to either access the submission form or the roster overview.
Frequently Asked Questions
Events are posted on the 15th of every month at 6:00 PM for the following month. Employees currently are given a week to submit their availability via Google Form.
For example, any events for April will be posted on March 15th at 6:00 PM. All staff will have until March 22nd at 6:00 PM to finish their monthly availability sign-up.
You will receive an email from your Program Manager with a link to the Google Form sign up for that month.
When you click the "submit" button and are brought to the closing page, your form has been sent to your Program Manager. At the end of your form, you are also able to toggle on an option to receive a copy of your submission for your records. P L E A S E do not send multiple of your form.
If you have to make any edits after the fact, please email your Program Manager instead of submitting 3 more forms.
No! All staff currently have the week to sign up with their availability.
Because we do not staff events on a first come, first served basis! We are currently managing a staff of over 160 employees and covering about just as many events every season. We also have our Football Scheduling Priority in place for a reason. Rosters are decided first by scheduling priority, then by fairness to ensure we do not overstaff but give Tier 1 equal monthly opportunities.
Thankfully for us, we have a lot of staff in Tier 1! Unfortunately when it comes to scheduling, some rosters are much smaller than others. For example, we only need 6 staff + 1 supervisor for Gymnastics. If we end up with 20 people from Tier 1 signing up for this event, we are only able to assign it to 7, with the remaining 13 on the waitlist.
You sure can! If it is possible to work two or more shifts (ie they are not at the same start time), you are more than welcome to do so. Please note that often times there is no gap between multiple events, and your day will be a continuous shift.
Once the sign-up window has closed, PMO will finalize rosters and send email confirmations to staff with details about the event they were scheduled to work. We will also send out a roster overview Google Sheet so you can see everything in one place. Please note that you are not guaranteed to work an event until you receive the confirmation email or see your name on the roster overview.
If you were not scheduled to work a particular event and would still like to be considered to work it, we will keep your name on the waitlist! Those will be the first people we call to fill in call-offs or extra staffing needs.
Unfortunately the rosters will have been finalized and emails sent out. We cannot guarantee any events for the following month if you did not sign up during our scheduling window. We will contact you if anything opens up, but priority will go to those who signed up during the window.
Nope! In the time it takes you to call, text, or email your availability, you could've signed up on the Google Form. You also have a full week to do so. Please make our lives a little easier and sign up for your own schedule.
Football and Graduation, our two biggest events, have 10+ different shift times and 6 different job assignments. Because of this, we have all staff sign up for a general "shift" for the day just so we can see that they are available to work. PMO will make assignments and let you know your shift time.
