Attendance Policies

At KIRA Event Services, we understand that our Event Staff position is part-time. Most of our employees have several other commitments, whether it be other jobs, school, or family obligations. We have just one requirement of our year-round staff, and that is to be available to work all home football games at USAFA and any additional major events that the Program Management Office deems necessary. Other than this, your schedule is yours to make! You can sign up to work every event we have, you can work once a month, or you can work just during football season. We are happy to work with each individual employee to make sure their schedule matches their lifestyle needs. That being said, please make sure you familiarize yourself with our attendance policies and treat your employment with us like the actual job that it is so we can ensure that all events run as smooth as possible.

Major Event Attendance Policy

It is expected that all Event Staff work every home football game and any additional major events that PMO deems necessary. Why? Because each of these events requires 300+ employees from KIRA to make the day happen, and we need all hands on deck! There are only 5-7 home games a season between late August and the end of November.

Year-Round Staff

We base priority for all other events during the season on how many of the major events you worked. Those that work all required events get put in Tier 1, meaning they get first priority to be scheduled for all other events. If you miss one event, you will be placed in Tier 2, and so on. Exceptions will only be made on a strict case-by-case basis with your Program Manager and HR.​

Seasonal Staff

We base priority for additional event coverage and calling up seasonal staff to year-round on how many of the required major events you worked. 

Call Off Policy

We understand that sometimes life happens and you won't be able to make a scheduled shift. If you need to call off, please give us at least 48 hours notice (if possible) by notifying all members of PMO by text or email (but especially the PMO on duty for that specific event).

If you are feeling sick leading up to a scheduled shift and are not sure if you will be better in time, please let us know so we can plan ahead and get a replacement just in case.

Staff will be allowed one call off per month before penalization. Each additional call-off will result in suspension from working events for two weeks. Exceptions will be made on a case-by-case basis.

No Call, No Show Policy

A No Call, No Show is when you sign up for an event then don't show up to work without prior communication to PMO about your absence. 

Two of these will result in termination of your employment.

Late Policy

It is your responsibility to arrive on time to your shift. That means that you are expected to be at the designated event check-in area by the listed call time. Please allow ample time to get to the venue and remember, it takes anywhere between 5-10 minutes to get from a base entry gate to a venue. This doesn't factor in long wait times at the gates, traffic on I-25, or walking from your car to the check-in area. Repeat late arrivals are subject to penalization.

If you want to work a shift but aren't sure that you can be there exactly at the shift start time due to valid reasons, please contact PMO to discuss your options. Our rule of thumb is that if you can arrive within 15 minutes of the shift start time, we will allow it (this is when the event brief typically begins).

 

You do not get to decide your start and end time for each shift. You must contact PMO for approval at least 24 hours prior to the start of the shift. 

Sick Time

All Event Staff accrue sick hours at a rate of 1 hour for every 30 hours worked (EO 13706), up to 56 hours per year. Your current total can be found on your ADP Portal.

 

Per THTBC Sick Leave Usage Policy:

Per Executive Order 13706, THTBC employees are permitted to use paid sick leave for:

-their own illness, injury, or other health-related needs, including preventative care

-to assist a family member who is ill, injured, or has other health-related needs, including preventative care

-for reasons resulting from, or to assist a family member who is the victim of, domestic violence, sexual assault, or stalking.


If you need to call off a shift due to one of the reasons listed above, please first follow our call-off policy to cancel your shift and notify PMO. Please verify if you have enough Sick Leave hours to cover your canceled shift. Finally, contact your Program Manager to notify them of the shift you want to use sick time for and how many hours you would like to use (cover what the shift ends up being or a smaller number of hours). Your Program Manager will send you a form to complete. Once this is done, they will submit this to Payroll during the correct pay period.
